A single-point-of-contact facility helpdesk managing all reactive, planned, and statutory maintenance requests around the clock. Activities include 24/7 fault reporting via phone, email, CAFM portal, and mobile app; intelligent job categorisation and priority classification (P1 emergency, P2 urgent, P3 routine, PPM, statutory); automated work order creation, assignment, and real-time tracking; technician dispatch and job progression monitoring with status notifications to occupants; customer satisfaction surveys after job closure; escalation matrix management for critical system failures; and monthly helpdesk performance reports covering job volumes, response times, first-time fix rates, and SLA compliance by service category.
End-to-end management of all specialist subcontractors and suppliers operating within the facility. Activities include vendor prequalification and onboarding (insurance, HSE certification, trade licences, and competency verification); scope of work development and subcontract agreement administration; permit-to-work (PTW) coordination and contractor site induction; daily supervision and quality inspection of subcontractor works; subcontractor KPI scoring and performance review meetings; invoice validation, variation order management, and payment certification; statutory compliance document collection (test certificates, warranties, O&M manuals); annual vendor performance assessments; and approved vendor register maintenance.
Comprehensive management of all facility assets from commissioning through to planned end-of-life replacement. Activities include creation and ongoing maintenance of a complete CAFM-based asset register (asset type, location, critical classification, condition grade, warranty, and O&M data); periodic condition surveys and health grading; development of planned preventive maintenance (PPM) schedules for all asset categories; spare parts and critical consumables inventory management; warranty tracking and defect management during the defects liability period; capital replacement planning and multi-year CapEx forecasting; critical asset resilience planning; statutory asset inspection scheduling; and annual lifecycle reviews updating remaining economic life and replacement cost projections.
Full deployment, configuration, and operation of the Computer-Aided Facility Management (CAFM) platform as the single digital source of truth for all facility operations. Activities include platform setup, module configuration, and system administration; asset database import, validation, and enrichment; PPM schedule configuration with automated trigger rules; reactive work order workflow design and optimisation; mobile workforce management and field technician app setup and support; document management module maintenance (manuals, drawings, test certificates); automated report scheduling and KPI dashboard configuration; CAFM user training and access control management; periodic data integrity audits; and system integration with HR, finance, and energy management platforms.
Rigorous performance governance framework ensuring full accountability, transparency, and continuous improvement across all service streams. Activities include SLA and KPI matrix development at contract inception; performance baseline establishment and target-setting; automated KPI data capture through integrated CAFM and helpdesk systems; real-time performance dashboards accessible to client and management teams; structured monthly performance review meetings with full evidence packs; corrective action plan (CAP) development, tracking, and closure; trend analysis to identify systemic failure modes; incentive and penalty mechanism administration per contract terms; annual contract performance reviews and target-reset workshops; and formal escalation and dispute resolution procedures.
Systematic management of all statutory, regulatory, and contractual compliance obligations across every facility discipline. Activities include development and maintenance of a comprehensive Statutory Compliance Register covering all legally mandated inspections and tests (pressure systems, gas, electrical, fire systems, lifts, LOLER, water hygiene); automated compliance task scheduling with expiry-date alerts in CAFM; appointment and management of competent persons and approved inspectors; collection, filing, and version-controlled management of test certificates, statutory reports, and O&M documentation; monthly compliance status dashboards and exception reports for client governance; liaison with civil defence, municipality, ASHGHAL, and other regulatory authorities; and maintenance of a central compliance document repository.
